Filtering and Searching Records

With hundreds or even thousands of documents in your system, finding exactly what you need quickly is key to efficient management. SwiftCollect provides search and filtering tools to help you stay organized.
1. Using the Search Bar
The search bar is located at the top of the Documents and Customers tabs.
How to use it: Simply start typing a Customer Name, Email, Invoice Number, or even a Phone Number.
2. Advanced Filters
Filters allow you to group records based on specific criteria. This is perfect for identifying “pockets” of debt that need your attention.
Common filters include:
  • Status: Filter by future due date, late payment, severely overdue, paid.
  • Date Range: View invoices issued within a specific month or those that are past their due date.
  • Amount: Find high value invoices
  • document type
3. How to Apply a Filter
Click the type of filter you want to use next to the search bar.
Select your criteria from the dropdown menus (e.g., Status > paid).

⚠️ Important: Check Your “Clear” Status

If you can’t find a specific invoice and you know it exists, please note: check if you have any active filters. Sometimes a forgotten “Paid” filter will hide all your “Open” invoices! Always make sure your filters are cleared when starting a new search.
